This Privacy Policy describes how Collabai Hiring Intelligence ("Collabai", "we") collects, uses, shares, and protects personal data when you use the Platform. We comply with GDPR, Argentina's Law 25.326, and applicable LATAM and EU regulations.

1. Data controller

Collabai Hiring Intelligence is the controller of personal data processed through the Platform.

2. Data we collect

We collect the following categories depending on your use:

  • Account data: name, email, password (hash), account type, organization.
  • Application data: CV, phone, country, professional links, form responses.
  • Interview data: voice recordings, transcripts, and session metadata.
  • Evaluation data: scores, AI-enriched profiles, recommendations, and timeline.
  • Technical data: IP, logs, essential cookies, device and browser.

3. Purposes and legal bases

We process personal data to:

  • Provide evaluation and hiring services (contract / pre-contractual measures — GDPR art. 6.1.b).
  • Process CVs and interviews with assisted AI (explicit consent — GDPR art. 6.1.a).
  • Improve security, prevent fraud, and audit model quality (legitimate interest — art. 6.1.f).
  • Comply with legal obligations (art. 6.1.c).

4. Artificial intelligence processing

We use AI providers to extract CV data, conduct voice interviews, and generate evaluations. Prompts are designed to extract hiring-relevant information only.

We do not infer or store sensitive or protected attributes for evaluation purposes.

Automated decisions are not binding: a human recruiter reviews results before hiring decisions.

5. Data sharing

We may share data with hiring organizations you apply to, infrastructure/AI subprocessors under data processing agreements, and authorities when required by law.

We do not sell personal data or share it for third-party advertising.

6. International transfers

Your data may be processed on servers outside your country (including the United States). We apply EU Standard Contractual Clauses (SCCs) and appropriate safeguards.

7. Retention

We retain application and evaluation data for up to 24 months from last activity, unless a different legal obligation applies or you request deletion.

Account data is retained while your profile is active and for a reasonable period thereafter for legal claims.

8. Your rights

Under applicable law, you may:

  • Access, rectify, or delete your data.
  • Restrict or object to processing.
  • Data portability in structured format.
  • Withdraw consent at any time (without affecting prior lawful processing).
  • Request human review of AI-generated evaluations.
  • Lodge a complaint with a supervisory authority.

9. Security

We implement encryption in transit, access controls, password hashing, and data minimization. No system is 100% secure; we will notify incidents as required by law.

10. Children

The Platform is not directed at persons under 18. We do not knowingly collect data from minors.

11. Changes

We may update this Policy. Material changes will be communicated 30 days in advance. The current version will always be published on the Platform.
